Position Spotlight - Office Manager.
We caught up with our Office Manager Mandy and she gave us the inside scoop on life at GetYourGuide!
What does your job entail?
The job of an Office Manager contains many different roles. It is not necessarily just one job. I oversee all aspects of the office and employees. In this role, I am the Receptionist, Facility Manager, Feelgood Manager, Travel Manager, Event Organiser, Security Officer and Merchandise Manager.
What does an average day as an Office Manager look like?
As an Office Manager, I do not have an average day. Every day is different, aside from some tasks at the beginning and end of my shift. My morning starts with distributing the company mail, I then read my emails straight away to see if anything urgent came up and check through my calendar for meetings. I attend to any urgent emails and then do a quick round of the office and conference rooms to ensure everything is tidy. I also check if any food or drink orders need to be placed. Some days we have lots of external guests coming in who I greet and take care of.
Other days, I receive a lot of travel requests or other staff requests. Depending on what the day brings, I block myself some time to take care of either the new merchandise or special events (including a Company Run or annual Summer Party, for example). Some days are more 'facility' related, meaning there might be something that needs a replacement or a machine broken in the office. Then, to end my shift I clean the coffee machine and look after the outgoing mail.
What is your favourite thing about being an Office Manager?
I enjoy the variety of the tasks, it ensures the job never gets boring. I like that everyday is different and brings new challenges. It is also great that I get to know all of the staff in the company.
What is the most challenging aspect of your role?
It is quite challenging to keep an overview about all the different aspects of the office management and the different tasks. It is very important to set priorities and to be well organised.
What advice would you have for someone who would like to be an Office Manager with GetYourGuide?
Organisational skills along with a can-do attitude are very important. In this role, you need to be very pro-active and think ahead. And, of course, you should always do your tasks with a smile.
